“We Just Need a Basic Phone System” — The Way of Thinking That Could Hold Your Business Back

Nick Pemberton Director of Sales, TelcoDataCloud · 10 April 2025
“We Just Need a Basic Phone System” — The Way of Thinking That Could Hold Your Business Back

A common thing I hear when talking to organisations reviewing their communications setup is, “We just need a basic phone system.”

And honestly, I understand why. On the surface, it sounds like a simple ask. Just get calls in and out, route them to the right people, and maybe throw in voicemail and a couple of handsets. No bells, no whistles. Little risk for the person in charge of making the decision.

But in reality, that mindset often leads businesses down a path that feels easy today but restrictive tomorrow.

What Does “Basic” Really Mean?

When people say they want a basic phone system, what they usually mean is they want something reliable, easy to manage, and not over-engineered. The problem is, many of the platforms that fall into the “basic” category today are built on older infrastructure, limited in flexibility, and offer little in terms of long-term adaptability.

What seems simple and cost-effective now often becomes a barrier to progress down the track, especially when business needs start to shift.

Teams grow
Remote and hybrid work becomes the norm
Customer expectations rise
Integration with other systems becomes essential

Suddenly, that “basic” system feels anything but.

Why Modern UCaaS Platforms Make Sense

Unified Communications as a Service (UCaaS) platforms are designed for where businesses are heading, not just where they are now. They bring voice, messaging, video, mobility and integrations together in one ecosystem that actually supports change — instead of holding it back.

Here’s what sets them apart:

Scalable from day one, with minimal friction as you expand
Integrated by design, working seamlessly with Microsoft Teams, CRMs, ticketing platforms and more
Built for flexibility, with mobile and remote work baked in
Easier to manage, with intuitive portals and far fewer support calls to vendors
Evolving constantly, with new features and capabilities added automatically

These are not niche or future needs. They’re already the standard for how modern businesses operate.

Legacy Systems Are Quietly Costing You

It’s worth saying — many traditional phone systems still work. But “working” doesn’t always mean working well. They often come with limitations that only reveal themselves once it’s too late:

Change requests take weeks or sometimes months
Adding users or numbers involves clunky processes
Integrations require workarounds or aren’t possible at all
Analytics are either non-existent or painfully basic
Mobility is patchy or dependent on third-party apps

And when something breaks? You’re back in the queue for support.

The most frustrating part is that all of this is avoidable. But only if you step back and ask a better question.

Future-Proofing Starts With Better Questions

Instead of asking, “What’s the cheapest or simplest way to make phone calls?”, consider:

What will our business need in 6 months, 2 years, 5 years?
Are we planning to grow, consolidate or shift the way we work?
Do we want to offer better experiences to customers and staff?
Will this system keep up without creating future admin headaches?

UCaaS platforms are built with these questions in mind. You can start simple — a few users, some basic call routing — and scale into more advanced features only when and if you need them.

The beauty is that the foundation is already there. No more ripping out systems or starting again when your business matures.

The bottom line: it’s not about over-complicating things. It’s about making sure your communications system doesn’t get in the way of growth.

A modern phone system shouldn’t just work. It should work for you — today, tomorrow, and every time your business changes.

Thinking about where this fits in your business?

We help organisations work out what is worth adopting, what is hype, and which vendors deliver it best. Independent, as always.

About

Independent from the first day

TelcoDataCloud was founded in Adelaide in 2017 to give organisations something the market did not offer: whole-of-market advice on cloud communications from people who do not hold the contract.

Our story

Founded in Adelaide, 2017

Asa Grund started TelcoDataCloud after years on the vendor side of the table, watching organisations pick communications platforms with almost no independent help. The vendors had specialists. The customers had a brochure.

The model has not changed since. We gather the requirements, compare the market, negotiate the commercial detail and project-manage the migration. You sign directly with the vendor you choose, and we are still on the account long after go-live.

Today the team works across almost every sector, from super funds, school networks and councils to retailers, manufacturers, health services, professional services, sporting clubs, tourism operators and charities, in Australia, New Zealand, the United Kingdom and Singapore. If an organisation runs phones, we have probably run the project.

Featured case study · Education

Catholic Education Diocese of Cairns

1,400 extensions across 28 schools in six months

{{ cm.v }} {{ cm.l }}

Challenge

The diocese needed to modernise telephony across a network of 30 schools. Requirements sat with school leaders and administrators spread right across the diocese, and replacing handsets at that scale put real pressure on capital budget.

Approach

Educational workshops with stakeholders across the diocese, then detailed requirements gathering. Six vendors were shortlisted and assessed through a weighted scoring model, with TelcoDataCloud supporting the diocese throughout its evaluation. Handsets were leased rather than bought.

Result

1,400 extensions deployed across 28 of the 30 schools in six months. 1,100 leased handsets in service with no capital expense. One partner from the first workshop through to business as usual.
